No data protection officer has been appointed, as the statutory requirements for this are not met.

2. Scope of this policy

This privacy policy applies to the websites under the domains adaptprosystems.de and adaptprosystems.com, including their www variants. It covers only the processing of personal data in connection with the use of these websites.

This website is a purely static information site. There are no user accounts, no newsletter, no comment function and no advertising or analytics features. A form is available for contact enquiries; the data involved is described in section 7.

3. Hosting and server log files

The website runs on a server rented from Hetzner Online GmbH, Industriestraße 25, 91710 Gunzenhausen, Germany, at its data centre in Helsinki (Finland) within the European Union. The host provides the server infrastructure and processes the data for the technical operation of this website. No data of visitors to this website is transferred to third countries outside the EU/EEA; the technical data involved in issuing the TLS certificate is described in section 6.

When the website is accessed, the web server (nginx) and the upstream TLS proxy (Traefik) automatically record data in log files. These are:

  • IP address of the requesting device
  • date and time of access
  • domain called and file or URL requested
  • HTTP status code and amount of data transferred
  • referrer (previously visited page), if transmitted
  • browser type, browser version and operating system (user agent), if transmitted

Purpose: technical provision of the website, ensuring trouble-free operation, error analysis and defence against and investigation of attacks on the technical infrastructure.
Legal basis: Art. 6 (1) (f) GDPR. Our legitimate interest lies in the secure and stable operation of this website.
Storage period: Access logs are rotated daily and deleted after no more than 7 days. Longer storage only occurs if there is concrete evidence of unlawful access and the data is required for clarification; in that case it is stored until the investigation is concluded.

This data is not combined with other data sources or evaluated for marketing purposes. No user profile is created.

4. Cookies

This website sets no cookies and uses no comparable techniques to store information on your device. No consent pursuant to § 25 (1) TDDDG is required; for this reason there is also no cookie banner.

5. Fonts and external resources

The typeface “Roboto” is served locally from this server. No connection is made to Google servers or those of other third parties, and no data is transmitted to third parties in the process.

This website does not load any external resources (no content delivery networks, no map or video services, no social media plugins, no advertising networks, no analytics tools). Only files from this website's own domain are loaded.

6. TLS encryption

This website is delivered exclusively over an encrypted connection (HTTPS, TLS). The certificate is issued and renewed automatically via Let's Encrypt. Only technical certificate and domain data is transmitted to ISRG (Let's Encrypt, USA) for this purpose – no data of visitors to this website. The technical connection data generated in this context is not used to identify individuals.

7. Contact by form, email or telephone

A form is available on the contact page. It asks for your name, email address and message; any further details are voluntary. When you submit it, your browser sends this information to our server in encrypted form, and the server forwards it to us as an email. It is not stored in a database.

If you contact us by email or telephone, we process the data you provide (e.g. name, email address, telephone number, content of the request) in order to handle your enquiry.

Purpose: answering your enquiry, preparing and performing a contractual relationship.
Legal basis: Art. 6 (1) (b) GDPR where the enquiry is aimed at concluding or performing a contract; otherwise Art. 6 (1) (f) GDPR based on our legitimate interest in answering enquiries.
Storage period: We delete the data as soon as it is no longer required for processing. Statutory retention periods under § 147 AO and, where applicable, § 257 HGB remain unaffected; the data is deleted after these periods expire.

Protection against misuse: The form contains an additional field that is invisible to visitors and only filled in by automated programs (honeypot); if it is filled in, we discard the message. In addition, we limit the number of submissions per IP address. For this purpose the IP address is processed briefly in order to fend off bulk requests (Art. 6 (1) (f) GDPR). It is not stored permanently and is not recorded together with the message or in any log.

Email traffic is handled via a mail server we operate ourselves on the same server in the EU. This also produces technical log data (e.g. sender and recipient addresses, delivery times), which we process for delivery and spam defence on the basis of Art. 6 (1) (f) GDPR and delete as soon as it is no longer required for these purposes. Please note that unencrypted transmission of emails may have security gaps along the transport path. For confidential content, please use alternative channels; feel free to contact us about this.
